FPS Bouw works every day to ensure buildings are safe. From fire-safe renovations to installing doors, alarm systems and other preventive measures. Often on behalf of housing associations, almost always in buildings where people live. And that is precisely where the greatest complexity lay for many years.
Renovation projects often involve dozens or even hundreds of residents. Each home requires its own agreement, tailored to the work that needs to be carried out. FPS Bouw faced the challenge of organising this effectively, without planning and communication taking up more time than the work itself.
From call rounds to overview.
Previously, every project began with the same intensive process: residents were contacted by telephone or received a letter in the post. This was followed by individual telephone appointments, rescheduled meetings and manually maintained schedules. This led to many separate contact moments, limited overview of progress, extra workload for project leaders and little insight for clients such as housing associations. As projects grew in size, it became clear that this way of working was not scalable.
One smart planner for everyone.
Cube collaborated with FPS Bouw to develop a digital appointment planner with a central management environment. This is not a generic tool, but a solution that fits in with how FPS Bouw carries out projects. Projects can be created from the management environment and residents, engineers and other contacts can be linked. Residents automatically receive an email with an invitation to schedule an appointment themselves. Using a clear planner, they choose a time slot that suits the duration of the work. If digital contact is not possible, a letter can easily be generated as a PDF for physical communication. Appointments are adjustable and changes are immediately visible to all parties involved.
Control over projects, residents and engineers.
Project managers can keep track of planning, staffing and progress from a single environment. Clients, such as housing associations, can log in themselves to see what work has been carried out and how a project is progressing. There is a separate working environment for engineers. They can see which appointments are scheduled for each day and what work needs to be carried out. Afterwards, a digital signature can be recorded on site as confirmation. Any details or notes are added directly to the file.
Less switching, more done.
The appointment planner has been in production since 2020 and is now an integral part of FPS Bouw's daily practice. As a result, appointments can be planned and managed entirely digitally, manual communication with residents has decreased, project managers have more peace of mind and a better overview, housing associations have gained more transparency, processes from planning to delivery are more efficient, and the risk of double appointments or errors has been significantly reduced. By simplifying the planning process, FPS Bouw can focus on what matters most: making buildings fire-safe.
